Incredible AI ("we", "us", "our") operates the AI Bookkeeper Chrome extension and the incredibleai.pro platform. This policy describes what data we collect, why, how long we keep it, and your rights.
1. What We Collect
Account data — Your email address and a generated API key, created when you sign up. Used for authentication and account management.
Transaction data — When you use the extension on a supported accounting platform (QuickBooks, Xero, FreshBooks, Wave), the extension reads transaction descriptions, amounts, dates, and categories from the page you're viewing. This data is sent to our backend for AI-powered categorization and is not stored permanently — it is processed in real time and discarded after the response is delivered.
Chat messages — Messages you send through the extension chat are processed by our AI to generate responses. Message content is not stored after the session ends.
Usage analytics — We track panel opens, chat turn counts, and session identifiers to understand how the extension is used. Analytics data includes your API key, a randomly generated session ID, and metadata such as message length and subscription status. No message content is included in analytics.
Cookies — We use a single session cookie (iai_session) on mcp.incredibleai.pro for login persistence. No third-party tracking cookies are used.
2. How We Use Your Data
- To authenticate you and manage your account
- To categorize transactions and answer bookkeeping questions
- To track usage patterns and improve the product
- To enforce usage limits and manage billing
3. Third-Party Sharing
We do not sell, rent, or share your personal data with third parties. Transaction data and chat messages are sent to Anthropic's Claude API for AI processing, subject to Anthropic's privacy policy. No other third parties receive your data.
4. Data Retention
- Account data (email, API key, subscription status) — retained for the life of your account
- Usage analytics (panel opens, chat turn counts) — retained for 90 days, then automatically deleted
- Transaction data and chat messages — processed in real time, not stored permanently
- Session cookies — expire when the browser session ends
5. Data Security
All data is transmitted over HTTPS. Your API key is stored locally in Chrome's encrypted extension storage. Our backend runs on Railway's infrastructure with encrypted connections to our PostgreSQL database.
6. Your Rights
You may request deletion of your account and all associated data at any time by emailing us. We will process deletion requests within 30 days.
If you are located in the EU (GDPR) or California (CCPA), you have additional rights including access to your data, data portability, and the right to opt out of data collection. Contact us to exercise these rights.
7. Chrome Extension Permissions
The AI Bookkeeper extension requests only the permissions it needs:
- Side Panel — to display the bookkeeper interface
- Active Tab — to detect which accounting platform you're viewing
- Storage — to save your login locally so you don't re-authenticate each time
- Cookies — to read the session cookie for automatic login
- Host access (QuickBooks, Xero, FreshBooks, Wave, incredibleai.pro) — to read transaction data from accounting platforms and communicate with our backend
8. Changes to This Policy
We may update this policy as the product evolves. Material changes will be communicated through the extension or by email. The "last updated" date at the top reflects when this policy was last revised.
